How to complete an email collection

Step-by-step guide for custodians to complete an email collection in Hearsay, including authenticating your email account, searching for emails, and importing them individually or in bulk.

This step-by-step guide walks custodians through the entire email collection process, including authorizing the collection, searching for and selecting emails, and uploading them to the legal team or account holder. This process does not require a computer and can be completed on a phone.


Launch the Hearsay Upload Portal

  • For custodians: Launch the upload portal by clicking the link in the Hearsay email you received, or go to upload.usehearsay.com and enter your extraction code.

  • For account holders: Launch the upload portal by clicking the Portal button in the case's Collection Requests tab, or go to upload.usehearsay.com.


Step 1: Enter your extraction code

Go to upload.usehearsay.com, click Get Started, then enter your extraction code and click Continue.


Step 2: Click Start

Review the collection details, then click Start to begin the email collection process.


Step 3: Select Emails from your collection checklist

On the Your Collection Checklist page, click the Emails card to begin connecting your email account and selecting emails to share.

Step 5: Search, select, and import

Once authenticated, you can search for individual emails to import or import emails in bulk. Use the Find Specific Emails tab for targeted searches, or the Import Emails in Bulk tab for larger collections.

Find Specific Emails

To search for specific emails, use the Find Specific Emails tab. Enter a name, email address, subject, or keyword in the search bar and click Search. Any emails matching your search will appear below.

Click the dropdown arrow next to an email to preview its contents before importing.

Click Import next to an email to upload it.

Imported emails are marked with an "Imported" label in the results list.

Import Emails in Bulk

To collect a large number of emails from a participant or all emails within a date range, use the Import Emails in Bulk tab.

Configure your bulk import filters:

  • Find messages by address — enter an email address or domain. Filter by Any, Sent to, From, CC'd, or BCC'd.

  • Search by keywords — search Subject line only, Email body only, or Everywhere.

  • Search within folder (optional) — limit the search to a specific email folder.

  • Import Entire Folders — check folders to import all their contents (e.g. Inbox, Sent Items, Drafts).

  • Date Ranges — select a preset (1M, 6M, YTD, 1Y, 2Y, 5Y) or enter custom dates. Click + Add range for additional date ranges.

Click the Import button to start the bulk import.

Click Bulk Actions to view the Bulk Action History, which shows the status, email count, and date range for each import.

When you are done importing emails, click Complete at the top of the page to finish.


Adding additional email account(s)

If multiple email accounts need to be collected, click Connect another account after completing the first accoun.t
