How to edit an extraction code

How to edit an extraction code — update contact info, modify search parameters, switch sharing modes, and add data sources before or after collection.

Edit an existing extraction code in Hearsay. Edits can be made both before and after a collection is completed. You can update contact information, modify search parameters, switch between Manual Search & Share and Pre-defined Search & Share, or add missing data sources to an already completed collection.


How to edit contact information

Step 1: Click name or email to edit contact info

Open the case and go to the Collection Requests page. Click the custodian's name or email address to open the edit form.

Step 2: Update contact details and save

In the Edit Custodian modal, update the Name, Email, or Phone fields as needed. Click Save to apply changes.


How to edit extraction code parameters

Step 1: Click the Edit button

Open the case and go to the Collection Requests page. Click the Edit button next to the extraction code to reveal the editable parameters.

Step 2: Modify collection settings

The parameters row shows editable settings for the extraction code:

  • Due Date — click + Add due date to set a custodian response deadline.

  • Collection Mode — switch between Manual and Auto Share tabs. Toggle Share All on or off.

  • Date Filters — click + Add date filter to limit the collection to a specific time period.

  • iPhone Backup — toggle Encrypted backup to allow the custodian to share call logs, health records, and Safari history.


How to add data sources

From the Collection Requests page, scroll to the Data Sources table. Data sources that were not included in the original request show a status of Not requested with a + Add button. Click + Add next to any source to add it to the extraction code.

Note: Financial data sources require Plaid to be enabled in your organization's Integrations settings before they can be added.


Editing after a collection is completed

Extraction codes can also be edited after a collection has completed and messages have been shared. Updates can include adjustments such as adding additional data sources, updating contact details, or modifying Pre-defined Search & Share settings.

For example:

  • You might add a social media account that was missed during the initial setup.

  • A forgotten phone number can be entered under Pre-defined Search & Share.

If a Pre-defined Search & Share collection has already completed and been shared, the custodian must reopen the Hearsay Extractor application, open the case, and click Reshare Conversations to send any newly added message threads that were initially missed.
