How to complete a collection

Step-by-step guide for completing a data collection through the Hearsay Upload Portal.

This article walks you through completing a data collection using the Hearsay Upload Portal. You'll enter your extraction code, review what data has been requested, and complete each item step by step.


Open the Upload Portal

There are two ways to access the Upload Portal, depending on your role.

As a custodian

Click the link in the invitation email from your law firm, or go directly to upload.usehearsay.com. The landing page outlines the 3 steps to share your data. Click "Get Started" to begin.

As an account holder

From the Collection Requests page, click the "Portal" button next to the custodian's data request.

Enter your extraction code

Type or paste the extraction code provided by your law firm into the "Enter Extraction Code Here" field and click "Continue".

Review the Collection Request Summary

The summary shows the law firm name and the data sources that have been requested. A privacy notice at the bottom confirms: "You choose exactly what to share. Nothing is sent without your approval."

Click "Start" to continue.

Complete your Collection Checklist

The checklist shows all requested data sources. Each source appears in the left sidebar and in the main content area. Select each item to provide what's needed. Your progress is tracked at the top (e.g., "0 of 6 completed").

The sections below describe what to expect for each data source type.


Cell Phones

Click "Cell Phones" from the checklist, then click "Start Cell Phone Collection".

Choose your device

Select "iPhone / iPad" (iOS 8+) or "Android Phone / Tablet" (Android 10+). Confirm you have everything needed for a smooth collection. Need a computer, cable, or additional storage? Click "We'll ship it to you" to order equipment.

Check all items and click "I'm ready — next step".

Download and run the Hearsay Extractor

Follow the on-screen instructions. Once the collection has started in the Hearsay Extractor, click "Extraction is underway".

Files

Click "Files" from the checklist. Upload the specific documents listed under "Requested Documents" by clicking "Upload" next to each item. If you don't have a document, click "Skip".

To upload additional documents not on the list, use the "Other Files" section — click or drag files into the upload area, or click "Upload a folder".


Bank Records

Click "Bank Records" from the checklist, then click "Connect Bank Account" to securely connect your bank through Plaid.

Supported account types include: Checking, Savings, Credit Cards, Loans, Mortgages, Investments, 401(k), and IRA.

Plaid typically provides up to 2 years of history. If you need records going further back, download PDF statements directly from your bank.



Emails

Click "Emails" from the checklist, then select your email provider: Gmail, Outlook, Yahoo Mail, iCloud Mail, or Other Email (IMAP). Follow the prompts to authenticate your account and select which emails to share.

Social Media Data

Click "Social Media Data" from the checklist, then select your platform. Follow the instructions provided to download and upload your data from each platform.

AI Chat History

Click "AI Chat History" from the checklist, then select your AI platform: Claude (Anthropic), ChatGPT (OpenAI), or Gemini (Google). Follow the instructions to export and upload your AI conversation history.

Confirm collection completed

When all items in your Collection Checklist show green checkmarks and the progress bar reads "All done!", click "Complete" at the bottom of the sidebar.

The Collection Complete screen shows a summary of everything you shared, with a checkmark next to each data source. Click "Log Out" when you're done.
