Review emails collected from Gmail, Outlook, or Yahoo accounts in Case Data. Group emails by the search term they matched, filter by folder, date, sender domain, or tag, search within results, classify threads as responsive or non-responsive, and tag what matters for export.
Open your collected emails
This section covers where collected emails live and the two search boxes on the page.
Click Case Data in the left sidebar, then select the email account under Data Sources. The list shows every collected thread with the sender, subject, preview text, message count, and date. Badges on each row show which of your search terms it matched.
Two search boxes are on this page. Search case data in the left sidebar searches the whole case. Search within results, above the list, searches only the emails currently shown and is the one used in this article.
Click « at the top of Data Sources to fold the panel into a dropdown bar above the results and give yourself more room. Click » to open it again. Use Filter by custodian/code to narrow the sources shown.
The Filters button next to the search bar shows or hides the filter row.
Group by search term
This section covers grouping the list under the search terms each email matched.
If your collection was built from search terms, check Group by search term. Every email is grouped under the term it matched, and each header shows that term's thread and email count. Click a header to expand or collapse it. Uncheck Group by search term to return to the flat list.
Narrow results with filters
This section covers the four filters in the filter row. Filters stack, and Clear filters removes them all.
Folders
Show or hide emails by source mailbox folder. Gmail folders appear as labels (INBOX, SENT, IMPORTANT, and category labels); Outlook folders appear by name. Uncheck a folder to exclude it, or use Deselect all and check only the folders you want.
Date
Limit results to Last 7 days, Last 30 days, Last 90 days, Last year, or a Custom range. All time removes the date filter.
Domains
Domains lists every sender domain in the collection with a thread count. Uncheck newsletter or list-serve domains to cut noise, or click Clear all and check only the domains you care about. Reset restores the full list. Use the search box inside the dropdown to find a domain or address.
Tags
The Tags filter has two tabs.
Search terms lists each term from your collection with its match count. Check a term to show only the emails that matched it. Check several to combine them, for example every address variation for one person. Uncheck a high-volume term that is mostly noise to keep it out of view. Sort by volume or A to Z, and use Filter search terms to jump to one.
Manual lists the tags you or your team have created. Check one to show only the emails carrying it. With nothing checked in either tab, all emails are shown.
Search within results
This section covers keyword search and the Query Builder.
Type a keyword in Search within results to search the emails currently shown. Click into the box to open the Query Builder, which supports the following operators:
AND: both terms must appear,
custody AND supportOR: either term may appear,
divorce OR separationNOT or -: exclude a term,
refund -receipt( ): group to control order,
(a OR b) AND c" ": match an exact phrase,
"out of office"\*: wildcard,
invoic*
Search runs on top of your filters, so filter first and then search within what's left.
Open and read an email
This section covers the thread view and its controls.
Click a thread to open it. The header shows the subject, message count, and participants. Each message shows the sender, recipients, date, subject, and full body with original formatting, images, and links.
The bar above the thread provides two controls:
Classify: mark the thread Responsive or Non-Resp
Tag: apply tags to the thread. Applied tags appear as chips you can remove with ×
The toolbar below the header provides three controls:
Search evidence: search within this thread
Comments: open the comments panel
Print Thread: download the whole thread
Each message also has its own PDF, EML, and Tag buttons. Click the back arrow (←) to return to the list.
Tag emails
This section covers tagging one thread or many at once.
Tags organize evidence for later searches, exports, and reports. To tag one thread, open it and click Tag. To tag several at once, check them in the list. The button above the list changes to Tag selected with the count of checked threads; click it and pick an existing tag or type a new name to create one. With nothing checked, the same button reads Tag all and applies to everything in view. Tags you create appear under the Manual tab of the Tags filter. See How do I tag messages?.
Add comments
This section covers comments on an email thread.
Click Comments on an open thread to open the Email Thread Comments panel. Type a comment and click Post. Comments show the author, date, and a Reply link. An orange dot on the Comments button marks threads that already have comments.
Export emails
This section covers the three ways to export emails.
Case Exports in the left sidebar is the preferred way to export emails. See How to export data.
Export selected: check threads in the list and click the export button above it, which shows the count of checked threads.
Print Thread: from an open email, download that thread on its own.
