Edit an existing extraction code to change collection settings, update search terms, add or remove data sources, or update custodian contact information. You can make edits both before and after a collection is completed.
The Edit control expands an inline settings panel on the Collection Requests page.
Step 1: Open Collection Requests
Open the case and click Collection Requests in the left sidebar.
Step 2: Click Edit
Click the Edit button next to the extraction code.
The settings panel expands below the header row. Click Edit again to collapse it.
Collection settings
The Edit panel organizes settings into five groups.
DUE DATE sets a response deadline for the custodian. Click + Add due date to set one.
COLLECTION MODE controls how the custodian shares data. Two radio options are available: Manual and Auto Share. Manual lets the custodian choose what to share. Auto Share runs pre-defined search queries and collects matching threads automatically.
Below the collection mode radios, two toggles control additional sharing behavior.
Client Approval: when on, the custodian must approve each batch of shared data before it is submitted.
Additional Sharing: when on, the custodian can share data beyond what the pre-defined search terms match.
If Auto Share is selected, a button shows the current number of search terms (for example, "8 search terms"). Click it to open the Auto Share Search Terms modal (see below).
DATE FILTERS limits the collection to a specific time period. Click the date range button to change it, or click + Add date filter if no range is set.
IPHONE BACKUP has a toggle labeled Encrypted backup. When on, the custodian can share call logs, health records, and Safari history from an iPhone.
CONTACTS has a toggle labeled Auto-collect contacts. When on, the custodian's full contact list from their phone is automatically included without prompting them to select individual contacts.
Configure Auto Share search terms
The Auto Share Search Terms modal lets you manage the search criteria for a Pre-defined Search & Share (Auto Share) collection.
Step 3: Open the Auto Share Search Terms modal
In the Edit panel, click the search terms button (for example, "8 search terms"). The modal opens with the title "Auto Share Search Terms" and the subtitle "Configure keywords and contact details to automatically share matching data."
The following search types are available. Each type has its own text area where you enter one value per line.
Search type | Notes |
One email address per line. | |
Phone | One phone number per line. Check International numbers to include country codes (for example, +1, +44, +81). |
Contact Name | One name per line. |
Keywords | One keyword per line. Check Exact match to match keywords exactly as typed. |
Click + Add search type to add another search type block. Click Remove next to a block to remove it. When finished, click Save Changes to apply or Cancel to discard.
Add and remove data sources
You can add data sources that were not included when the request was created, or remove sources that are no longer needed.
To add a source, scroll to the Data Sources table on the Collection Requests page. Sources not included in the original request show a status of Not requested with a + Add button. Click + Add to include the source.
To remove a source, click the Remove button on the source row.
Financial data sources require Plaid to be enabled in your organization's Integrations settings before they can be added.
Edit contact information
You can update the custodian's name, email address, or phone number directly from the Collection Requests page.
Step 4: Click the custodian's name or email
Click the custodian's name or email address in the request header.
Step 5: Update the fields
Update the fields in the edit form.
Step 6: Save your changes
Click Save to apply the changes.
Editing after a collection is completed
You can edit an extraction code after the collection is complete. Common post-collection edits include adding a data source that was missed during the initial setup, entering a new phone number or email address under the search terms, or updating the custodian's contact information.
If a Pre-defined Search & Share (Auto Share) collection has already completed and the custodian has shared their data, they must reshare conversations after you update the search terms so that newly matching threads are included. For instructions, see How to reshare conversations (for Auto Share extractions).
