How to complete an email collection

Step-by-step guide on how to complete an email collection.

This step-by-step guide walks custodians through the entire email collection process, including authorizing the collection, searching for and selecting emails, and exporting it to their legal team or account holder. This process does not require a computer and can be completed on a phone.


Before starting your email collection

For custodians:

If your firm sent you a collection request by email, it will come from “Hearsay – Legal Data Collection Platform” ([email protected]). Copy the extraction code from the email, then click the link provided to launch the Hearsay Legal Data Collector web page, or go to usehearsay.com/data-collection.

For account holders:

If completing the collection in person, copy the extraction code from the Data Requests dashboard. Launch the Hearsay Legal Data Collector web page from your Hearsay account or by going to usehearsay.com/data-collection.


Step 1: Input extraction code

Enter your extraction code, then click Continue.


Step 2: Enter email address

Enter your extraction code, then click Continue.


Step 3: Choose or confirm account

Select the specific account that will be collected.


Step 4: Click Continue

Click Continue.


Step 5: Click Allow

Click Allow.


Step 6: Enter Search Terms

After completing authorization, you will be able to perform searches and exports.

Enter the search parameters, then click Apply Filters.


Step 7: Select Emails

Select emails individually by scrolling and viewing the messages, or by clicking Add all emails matching this search.

You can review the content of an email by clicking on it.


Step 8: Export Emails

After adding searches or selecting individual emails, click Export Emails.


Step 9: Log Out

Once the export is completed, the emails have been shared with the custodian’s legal team or the account holder.

Click I’m done, log me out to complete the process.
